Case Study: Bionic entrusts video conferencing rooms standardisation to ITSL

Bionic is the smart way for SMEs to get their business essentials sorted, with tech-enabled human experts. They combine smart technology with world class human service, to match SME business owners with the right business energy, insurance, connectivity, telecoms, and commercial finance solutions from a panel of specially selected providers, suppliers and products. The initial AV project completed by ITSL for Bionic was very well received, so we were entrusted a few other projects at Bionic’s new Chelmsford office.

Requirements

Bionic required a better setup for some of their meeting spaces in their London office. They reached out to ITSL for:
– Boardroom video conferencing (VC) setup for MS Teams.
– 2 small “huddle” environments to have screens for presentations.
– General removal of existing/old equipment, design, supply and installation of a more advanced – but ultimately – easy to use MS Teams meeting space.

Solution

ITSL setup a Microsoft Teams Room system using Yealink products to provide a camera, audio and touch screen PC solution for easy meeting creation and use. Within the system, we provided a touch screen tablet, mini-PC, microphone and speaker setup, with wireless connectivity for BYOD (bring your own device) ability where required. For the huddle spaces, ITSL extended some electrical points and setup screens on wall mounts with wireless connectivity to allow anyone easy connection to the displays for small meetings.

Project Benefits

Kelly Sedge, Head of Tech Operations at Bionic, commented: “The MS Teams meeting room systems have transformed our meetings and improved the experience for remote and in person attendees. The Service Desk are no longer needed as everyone is self-sufficient thanks to having available VC technology that they are used to.” After completion, Bionic were so happy with the system, they then required us to roll out the “Teams” Room solution to a further two meeting rooms within their London office, and are now looking to achieve the same setup in their Luton office space, plus additional systems. ITSL carry out ongoing AV works for Bionic and have done for several years. The business relationship continues to expand as they trust ITSL across all elements of audio visual solutions.

Follow-up Project Requirements

After a recent acquisition of a company with an office space in Chelmsford, Bionic reached out to us with a few requirements for this new office. Given the successful AV installation by ITSL in their London offices, Bionic did not hesitate to entrust us this project too. Their overall idea was to standardise and simplify video conferencing technology across all offices. In this particular case, there was a need to:
– Create a Microsoft Teams environment in the CEO’s office.
– Ensure the safety and stable mounting of an existing on-wall screen in the same room.
– Upgrade, reinstall and make safe their business area information displays.
– Complete cable management in the open office space areas.

Follow-up Solution

ITSL covered all requirements of Bionic within a week of the project kick-off. We equipped the CEO’s office with a new Yealink system to run Microsoft Teams meetings seamlessly and without any setup time needed. We also ensured the existing screen is properly mounted to the wall with fitting brackets, so it does not pose a safety risk for anyone in the room. As a next step, we added and replaced all existing business area screens with 10 high-grade Samsung displays. These vary in size but we chose the same range for all of them, to keep the equipment standard and high quality. Finally, we re-managed all of the cabling infrastructure by choosing the right-length HDMI cables from Gigavex. Most importantly, there were no visible cables anywhere on the office floor, creating a tidy and nice working environment.
